WhatsApp invitation templates that get replies

An invitation on WhatsApp gets read far more often than one by email. It also gets replied to, which is the part most businesses are unprepared for: fifty invitations produce fifty questions about timing and parking.

The invitation

Marketing category, so these require opt-in and an opt-out line. Keep them short; the detail belongs behind a link.

  • Hi {{name}}, Meridian Design is hosting a free workshop on small-space interiors on {{date}} at 6pm. Reply YES to reserve a seat. Reply STOP to opt out.
  • You are invited to the Aurora Studio open house on {{date}}. Free trial classes all day, no booking needed. Reply STOP to unsubscribe.
  • {{name}}, our new store at Indiranagar opens {{date}}. First 50 visitors get a gift. Reply STOP to opt out.

Reminders

The reminder does more work than the invitation. Send one the day before and, for anything time-critical, one an hour ahead.

  • Reminder: your seat at the Meridian workshop is confirmed for tomorrow, {{date}}, 6pm. Address and parking details: {{link}}
  • Starting in an hour. Join the Aurora webinar here: {{link}}. Reply if you cannot make it and we will send the recording.

Send a reminder only to people who accepted. Reminding someone about an event they never said yes to is how you collect blocks.

Handling the replies

Invitations generate a predictable set of questions: is it free, where exactly, can I bring someone, will there be a recording. These arrive within minutes of sending and continue for days.

An AI agent answers them from the event details, records who confirmed, and sends the reminder only to that list, which is the difference between a campaign and a mailing.

Frequently asked questions

Can I send invitations to people who have not opted in?

No. Invitations are marketing and require opt-in. Sending to a bought or scraped list is the fastest route to losing the number.

How many reminders is too many?

Two for most events: one the day before, one shortly before it starts. A third reliably produces opt-outs.
