WhatsApp messages for webinars and events

Registration is not the problem. Attendance is, and a WhatsApp message for an event invitation is read far more reliably than the equivalent email. Most webinars lose the majority of registrants between signing up and starting, and WhatsApp reminders close that gap more reliably than email because they are actually seen.

The invitation

Marketing category, so opt-in and an opt-out line are required. Keep it to one sentence of what and one of when, with the detail behind a link.

Reminders are where attendance is won

Send one the day before and one shortly before it starts. The second one carries most of the effect, because the common failure is not forgetting the event but forgetting it is now.

Put the join link in the reminder itself. Making someone search their email for a link at the moment the session starts loses a meaningful share of them.

Only remind people who registered. Reminding a general list about an event they never signed up for produces opt-outs, not attendance.

After the session

Send the recording to everyone who registered, including those who did not attend. Non-attendees who watch the recording are a real segment, and the message costs nothing.

Follow up separately with people who asked questions during the session. They identified themselves as interested, and they are the reason the webinar was worth running.

Frequently asked questions

How many reminders should I send?

Two: one the day before, one shortly before the start. A third produces more opt-outs than attendees.

Can I send the invitation to my whole customer list?

Only to the part that opted in to marketing messages. Event invitations are marketing regardless of the event being free.

Should I send the recording to people who did not attend?

Yes. Non-attendees watching later are a meaningful share of the value, and it is a cheap message to send.
